Last night, I felt so tired that all I wanted to do is slack. It’s the day in a week when I feel the most pressure at work because everyone is also feeling the pressure to keep up with their planned progress. Since the nature of my job is more on coordination there will be a lot of information for me to disseminate. There are times that I feel like a “hub” of information so I have put things in record to make sure that everyone is on the loop or on the same page when it comes to the details of the matter.

There’s a lot of potential mistake when I fail to distribute the information on time and to the right people. That’s why I envy the kind of jobs that only deals with 1 person at a time. In my line of work, I have to make sure that the everyone in the team are aware of the information. Sending a group email is not enough. Sending in a group chat may not be enough as well. I still need to give each and everyone who are in the loop to make sure that they are fully aware of the information.

Sending through an email is easy because I already have an list for a specific type of concerns. It goes the same with group chats where I can simply drop a message, photo, or document and then everyone in the chat will be notified right away. It may seem that the method is enough to notify everyone in a group chat however it doesn’t relieve me from the responsibility of making sure that they are aware of the information. The way I see it, a group chat is not a reliable method in disseminating information because it could easily get lost among the many messages that each participant may send. It’s not easy to keep track and review the messages that were posted in the chat. Eventually, whatever is sent to the chat will be archived since nobody has the patience to record and categorize the messages that were posted.

We have to resort in several ways of recording the information in such a way that it could be tracked and searchable as well. I still don’t know the right medium at this point but so far, the one that works is to manually record every points, items, or minutes that were discussed during a specific meeting. It’s analog and its slow. It’s not perfect neither however it’s a better option for us right now.

I hope to find a modern solution, a software that makes project management faster, intuitive, and easier to manage so we can focus on resolving issues instead of putting too much energy in recording a disseminating informations.
